Casual – 5 days per week (Monday to Friday) plus some after-hours on-call work (with applicable penalty rates).

The Opportunity:
As we continue to expand our services, we are seeking an additional Operations Support & Scheduling Coordinator to join our team. This role is at the core of our organisation, responsible for the efficient coordination of daily operations to ensure our clients receive the highest level of care. We are looking for a proactive and detail-oriented professional who thrives in a fast-paced environment and has experience in workforce coordination.
This role offers an exciting opportunity for someone with strong attention to detail, exceptional communication skills, and the ability to multitask effectively while responding to incoming communications from support workers, participants, and external stakeholders.
Key Responsibilities:
Scheduling Coordination
- Coordinate and manage the roster to ensure appropriate coverage for all participant needs. This includes strategic decision-making to ensure staff and other business resources are appropriately matched to specific shifts based on:
- The individual needs, goals, location, and preferences of the participant to ensure a person-centred approach is applied.
- The skills, availability, suitability, and experience of the relevant staff member.
- Operational and business efficiencies.
- Ensure scheduling complies with legislative and Award requirements.
- Quickly adapt schedules in response to unexpected staff absences or client requests.
- Monitor rostering trends and recommend improvements for efficiency.
- Maintain accurate data records using multiple IT applications.
- Ensure that all scheduling and operational tasks comply with relevant NDIS and Aged Care standards and regulations.
Operations Support:
Establish, build, and maintain relationships with participants, staff, and external stakeholders.
- Respond to enquiries via phone, email, and instant messaging in an efficient, professional, and timely manner.
- Action participant intake requests, variations, and cancellations.
- Provide administrative support for onboarding new employees and ongoing employee management.
- Provide remote support to team members working in the field to ensure high-quality service delivery.
- On-Call Support – Participate in an after-hours roster to manage scheduling and operational matters outside regular office hours.
- Stay informed of industry standards and legislative changes to ensure best practices are maintained.
What We’re Looking For:

- A minimum of 12 months of rostering experience in disability or aged care.
- Strong understanding of the SCHADS Award.
- High-level proficiency with ShiftCare rostering application, Microsoft 365 suite, and Asana team collaboration platform.
- Knowledge of the NDIS and/or Aged Care industry and associated standards.
- Additional experience within the Disability or Aged Care industry is highly desirable.
Essential Requirements:
- NDIS Worker Screening Check & Working with Children Check.
- Current National Police Check.
- First Aid & CPR Certificate (or willingness to obtain).
- Full Australian working rights.
