Quality, Audit and Document Control Officer

Headway Gippsland is seeking a motivated and detail-oriented Quality, Audit and Document Control Officer to join our supportive team. About the Role
As the Quality, Audit and Document Control Officer, you will play a key role in supporting the organisation's quality, compliance, and governance frameworks. You will work collaboratively with managers and staff to coordinate internal audits, maintain document control systems, monitor compliance requirements, and support continuous improvement activities.

Key Responsibilities
Quality and Compliance
Support the implementation, maintenance, and continuous improvement of the organisation's Quality Management System (QMS).
Monitor compliance with organisational policies, procedures, legislative requirements, standards, and contractual obligations.
Maintain compliance, risk, and quality registers and reporting systems.
Identify compliance gaps, quality issues, trends, and opportunities for improvement.
Support managers and staff to understand and implement quality and compliance requirements.
Internal Auditing
Coordinate and maintain the internal audit program and audit schedule.
Conduct and support internal audits, including planning, evidence collection, documentation, and reporting.
Monitor audit findings and track corrective actions through to completion.
Analyse audit outcomes and identify recurring or systemic issues.
Support external audits, accreditation reviews, and certification processes.
Document Control and Policy Management
Maintain the organisation's document control system and document registers.
Coordinate document development, review, approval, publication, and archiving processes.
Ensure version control and review schedules are maintained.
Support document owners to ensure policies and procedures meet organisational and compliance requirements.
Assist in communicating policy and procedure updates across the organisation.
Continuous Improvement and Governance
Maintain corrective action and continuous improvement registers.
Monitor action plans, due dates, and completion status.
Support root cause analysis and organisational improvement initiatives.
Prepare quality, compliance, audit, and governance reports.
Contribute to risk management, governance, and continuous improvement activities across the organisation.

Selection Criteria
Please address the following in your application:
Relevant qualification or demonstrated experience in quality, compliance, auditing, governance, document control, administration, or a related discipline.
Experience working with quality management, compliance, audit, or document control systems.
Experience conducting or supporting internal audits and monitoring corrective actions.
Strong understanding of document control, records management, and version control principles.
Ability to interpret policies, standards, legislation, and regulatory requirements.
Demonstrated organisational, analytical, problem-solving, and communication skills.
High level proficiency in Microsoft Office and electronic document management systems.
Commitment to quality, compliance, risk management, and continuous improvement.
Desirable
Training or qualifications in internal auditing, quality management, compliance, or governance.
Experience in a regulated environment.
Experience supporting accreditation, certification, or external audit processes.
Knowledge of risk management and continuous improvement methodologies.
Experience using quality, compliance, or risk management software.
