We are seeking an organised, reliable and motivated Property Management Assistant to support our Property Management Department in the day-to-day management of residential property portfolios. The Property Management Assistant is responsible for assisting Property Managers with a wide range of administrative and operational tasks to ensure the smooth management of residential rental properties. This role involves supporting routine portfolio management, coordinating maintenance and inspections, preparing documentation and delivering a high level of service to both rental providers and renters.
Working closely with the Property Management Team, this position requires strong organisational skills, attention to detail, the ability to multitask and a proactive approach to supporting the department’s daily operations.
Key Responsibilities:
Assist Property Managers with the day-to-day management of residential rental properties.
Monitor and manage daily rent arrears, including follow-up communication with renters where required.
Conduct routine inspections and final inspections in accordance with company procedures and legislative requirements.
Prepare detailed condition reports and inspection documentation.
Assist with onboarding new renters, including preparing leases and tenancy documentation.
Manage bond claims and associated administrative processes.
Coordinate and arrange property maintenance, liaising with contractors, renters and rental providers.
Prepare rent reviews and lease reviews in line with legislative requirements and company procedures.
Process invoices and ensure all documentation is uploaded and maintained accurately within company systems.
Prepare uploads and electronically archive property documents and records.
Allocate and manage spare keys for properties.
Assist with creating CMA’s and supporting administrative tasks across the department.
Conduct open for inspections as required.
Provide general administrative support to the Property Management Team to ensure efficient day-to-day operations.

Qualifications and Experience:
Previous real estate or administration experience preferred but not essential
Current Agent’s Representative Certificate or willingness to obtain
Current driver’s licence
Strong computer and administrative skills
